QuestionQ66

Managing data governance and compliance

An employee at your company who has a Workspace Business Plus license will soon begin a long leave. The employee will not require access to their Google Workspace data, but their teammates will need access to that employee’s data. When the employee returns from leave, you must restore access to their account, data, emails, and shared documents.

You need to retain the employee’s Workspace data while minimizing costs during the leave. What should you do?

  • A Suspend their account in the Admin console.
  • B Purchase an Archived User license and assign the license to the employee.
  • C Export the account data by using Takeout, and remove the user license in the Admin console.
  • D Copy the employee's emails, and transfer their file ownership to a teammate. Delete the user account.
Explanation

A Business Plus Archived User license preserves the user’s Google Workspace services data while blocking the user from signing in, and it makes the active Google Workspace license available for reassignment. The archived account can later be unarchived and restored to active use, retaining its Gmail, Drive data, and shared-document relationships. Suspending an account preserves data but continues billing for the active user license.
